Excavation Contractor Software

Solutions for excavation companies

PlanOps supports excavation companies in managing their projects and equipment.

An excavation contractor manages expensive equipment, skilled operators and jobs that depend on each other: foundation digs, drainage, utility trenches, septic systems and site grading. A day with an idle excavator or a badly scheduled truck is expensive.

On top of that come utility locates, soil surprises and weather that turns a site into mud. PlanOps helps you measure sites remotely, quote by the hour or by the job, schedule machines and operators, and track actual hours on every job.

Challenges excavation contractors face

Scheduling equipment and operators

Excavators, skid steers and trucks need to be in the right place at the right time. An overlap costs a full day.

Quotes that are hard to price

Spoil volume, soil type, hauling, disposal and backfill: the variables are many and surprises are common.

Tracking actual hours

Equipment and labor hours must be logged accurately, especially on time-and-materials contracts.

Underground surprises

Rock, groundwater, unmarked lines: you need photos to document these surprises and justify change orders to the client.

How it works with PlanOps

  1. 1

    Capture the request

The project is created in the CRM with the address, scope of work and client documents.

  2. 2

    Measure the site remotely

Use satellite imagery to measure drain runs, areas to grade or site access.

  3. 3

    Quote

Build an hourly or fixed-price quote covering equipment, hauling, materials and disposal.

  4. 4

    Schedule machines and operators

Assign operators on the calendar; they see the job, address and notes in the mobile app.

  5. 5

    Clock in and invoice

Time clock hours and photos of surprises feed the invoice, synced with QuickBooks.

Frequently asked questions

Can I bill by the hour using actual job hours?

Yes. Operators clock in on site through the mobile app and those hours are used to produce an accurate invoice, which is ideal for time-and-materials work.

How do I document a change order like rock or water?

The operator takes photos and adds a note directly in the project. You then have visual proof to add the extra to the invoice and explain it to the client.

Is satellite measurement useful for excavation?

Yes, for estimating drain runs around a house, the area of a driveway to dig out or a lot to grade. Depths and soil conditions still need to be confirmed on site.

Can PlanOps replace my paper timesheets?

Yes. The mobile time clock records each operator's hours per job. You no longer have to collect and retype timesheets at the end of the week.
